Job Summary
I am seeking a highly organized and energetic Event Coordinator to be the driving force behind our events. You will manage the entire lifecycle of corporate and private events—from the initial client inquiry and menu planning to day-of execution. The ideal candidate has a passion for hospitality, an eye for detail, and the ability to multitask in a fast-paced environment.
Key Responsibilities
· Client Consultation: Serve as the main point of contact for clients, conducting venue tours, discussing event goals, and guiding them through food and beverage selections.
· Logistics & Planning: Coordinate all event details, including creating detailed Banquet Event Orders (BEOs), floor plans, timelines, and staffing assignments.
· Vendor Management: Liaise with external vendors (e.g., florists, rental companies, A/V technicians) to ensure seamless event execution.
· On-Site Execution: Oversee event setups, manage food and beverage service, and troubleshoot any day-of issues to ensure a flawless guest experience.
· Financial Administration: Process contracts, manage deposits, and generate final invoices using catering software like Tripleseat or AllSeated.
· Post-Event Follow-Up: Conduct post-event evaluations, process client feedback, and build relationships to secure repeat business.
Qualifications & Skills
· Experience: Minimum of 2 years of experience in catering, hospitality management, or event planning.
· Communication: Exceptional verbal and written communication skills; must be able to professionally interact with clients and staff.
· Organization: Superior time-management skills with the ability to handle multiple events simultaneously.
· Technical Skills: Proficiency in event management software (events and sales management and Delphi ) and MS Office Suite.
· Physical Requirements: Ability to stand/walk for extended periods and lift up to 30 lbs when setting up events.
