Events Coordinator
Location: Black Gold Golf Club
Reports To: Director of Catering Sales & Events
Status: Full-Time, Hourly (40 hours per week; fluctuating schedule including evenings and weekends as needed)
Position Overview
Black Gold Golf Club is seeking an organized, energetic, and customer-focused Events & Administrative Coordinator to support our Catering Sales & Events Department. This role assists with the planning, coordination, and execution of weddings, corporate events, banquets, conferences, and special events providing administrative support to the Director of Catering Sales & Events and management team.
The ideal candidate is detail-oriented, thrives in a fast-paced environment, enjoys working with people, and has a passion for creating memorable guest experiences.
Essential Responsibilities
Assist with planning, organizing, and coordinating weddings, banquets, conferences, and special events.
Support event tastings, detail meetings, and client communications.
Coordinate wedding rehearsals and ceremony processionals.
Escort wedding parties to designated photography locations throughout the golf course.
Create, review, and help manage Banquet Event Orders (BEOs) and assist with BEO meetings.
Verify event setups and ensure all details align with client expectations and event specifications.
Coordinate rental orders, vendor deliveries, and pickup schedules for event equipment and décor.
Maintain event photo archives and organize digital assets.
Prepare administrative documents as needed.
Assist with event execution and provide on-site support during events.
May Conduct venue tours and orientations for prospective clients and guests.
Respond to customer inquiries and assist in resolving guest concerns professionally.
Maintain thorough knowledge of club facilities, services, and event offerings.
Assist with social media marketing efforts, including content creation and posting.
Perform additional duties as assigned.
Qualifications
Required

Ability to work independently and collaboratively in a team environment.
Flexible availability, including evenings, weekends, and holidays as needed.
Positive attitude, professional appearance, and strong attention to detail.

· Read and write English
Preferred
Wedding or event coordination experience.
1–3 years of hospitality, event, or customer service experience.
College education is preferred but not required
Experience with Microsoft Office Suite, Canva, POS systems, and event management software desired
Experience with Tripleseat Event Management Software preferred.
Physical Requirements
Ability to stand, walk, bend, kneel, push, pull, and lift throughout events.
Ability to work indoors and outdoors in varying weather conditions.
Ability to communicate effectively with guests, vendors, and staff.
Able to drive and operate a golf cart (training provided)

Pay: $21.00 - $25.00 per hour
