The Tournament & Event Manager at Bear Creek Golf Club plays a critical role in the club's event operations. This position is responsible for planning, coordinating, and executing a wide range of private events hosted at the club, such as weddings, corporate outings, banquets, social gatherings, golf tournaments, and other special club events. Serving as the primary point of contact from the initial inquiry to event completion, the Tournament & Event Manager ensures that every event runs smoothly and provides an exceptional guest experience. This role is ideal for someone who is highly organized, customer-centric, and adept at managing multiple events simultaneously while maximizing event revenue for the club.
The manager coordinates directly with clients, guiding them through site tours and consultations, crafting detailed event proposals, contracts, banquet event orders (BEOs), and timelines tailored to their needs. They work closely with various club departments such as food and beverage, golf operations, maintenance, and others to ensure flawless event execution. The successful candidate oversees all logistical aspects of events, including setup, execution, and breakdown, maintaining high-quality standards that meet or exceed client expectations.
Additionally, this role involves managing the financial components related to events, such as billing, deposit collection, and final invoicing. Building and sustaining strong relationships with clients, vendors, and community partners is a core responsibility, creating additional opportunities to increase bookings and revenue. The Tournament & Event Manager also assists with marketing initiatives, promotional activities, and outreach efforts designed to elevate the club's profile and attract new business.
Physical aspects of the job require the ability to stand and walk for extended periods during events, carry up to 25 pounds, and operate both indoors and outdoors depending on event requirements. Flexibility with schedule is important as the role demands working during evenings, weekends, and holidays based on event timing. Educational and experiential qualifications typically include background in event planning, hospitality, catering, or club management, supplemented by strong organizational, communication, and customer service skills. Proficiency with Microsoft Office and event management software is preferred.
