OVERVIEW: Boca West Country Club is seeking a courteous, professional, and highly organized Live Well Receptionist to serve as the first point of contact for our spa members & guests. The ideal candidate will deliver exceptional customer service, manage appointment scheduling, and ensure a seamless and welcoming experience for all members to our Live Well Spa. This role is vital to maintaining the high standards of service excellence associated with Boca West’s prestigious reputation.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Greet members warmly and professionally upon arrival, creating a welcoming and relaxing atmosphere.
Manage the daily scheduling of spa appointments using our reservation system, accommodating guest preferences and ensuring optimal utilization of spa resources.
Provide detailed information about spa services, treatments, and amenities, and assist guests in selecting appropriate options based on their needs.
Handle all phone and email inquiries promptly, providing accurate information and making appointments as requested.
Process transactions accurately using POS systems, including payments, gift card sales, and product purchases.
Maintain cleanliness and organization of the reception area, ensuring a tidy and inviting environment at all times.
Assist with inventory management, including stock levels of retail products and spa supplies.
Uphold confidentiality and discretion when dealing with guest information and transactions.
Collaborate with spa staff and management to ensure smooth daily operations and member satisfaction.
Respond to Member feedback and resolve any issues efficiently, escalating to management when necessary.
Support promotional and marketing efforts by distributing flyers, brochures, and promotional materials as needed.
Minimum Qualifications:
§ Previous experience in front desk, reception, or customer service role, preferably within a luxury spa, hospitality, or country club setting.
§ Excellent interpersonal and communication skills.
§ Strong organizational skills with the ability to multitask effectively.
§ Proficiency in computer systems, including reservation software and MS Office Suite.
§ Professional appearance and demeanor.
§ Ability to maintain a positive attitude and provide exceptional service under pressure.
§ Knowledge of spa services and products is a plus.

EDUCATION, EXPERIENCE, and TRAINING:
High school diploma or general education degree (GED); and one to three months related experience and/or training; or equivalent combination of education and experience.
Additional courses, experience or knowledge in Hospitality, Country Club, or Resort services are preferable.

This position works in an environment with moderate noise level.
Shift Requirements – Spa Operating Hours are currently 9:00am – 7:00pm Monday through Thursday and 9:00am – 6:00pm Friday through Sunday (these hours may change at any time:
§ Full Time –
o At least 30 hours a week, depending on season and maintaining benefits.
o 4 – 5 shifts per week, ranging from 6 to 8-hour shifts.
o At least 2 shifts being weekend days, which include Friday, Saturday and Sunday.
§ Part Time –
o Required hours range from 12 - 30 per week, depending on season.
o Requires 2 shifts per week, ranging from 6 – 8-hour shifts.
o One shift must be a weekend day, which includes Friday, Saturday or Sunday.
§ The Spa at Boca West also has blackout dates, where no time off is permitted.

The Spa Receptionist is responsible for the reception area at the Spa. This includes the greeting of all guests, answering phone calls, assisting guests with questions regarding Spa services and products, booking all appointments, checking the guest into the computer system and charging for services performed. Here in the Lifestyle and Wellness Department, all of our employees work as a team. All employees may be asked and must be willing to help out in all other areas including Fitness and/or Aquatics. Spa Receptionists must also be willing to work as a Spa Programmer/Key as needed.
