Hidden Valley Country Club , located in Reno, NV , is pleased to announce an excellent career opportunity for a Part-Time Member Services & Communication Coordinator ! We are seeking a driven individual who is eager to learn, contribute, and grow within a fast-paced hospitality-focused property organization. GENERAL PURPOSE
Serves as the primary point of contact at the Club’s front desk while coordinating timely, accurate member communications. Works with Club leadership and department heads to keep members informed of events, promotions, operating hours, facility updates, and other Club information.
ESSENTIAL DUTIES
- Provides professional front-desk coverage and creates a welcoming first impression for members, guests, vendors, and prospective members.
- Answers incoming calls, responds to routine questions, and routes member inquiries to the appropriate department with timely follow-up.
- Coordinates member communications with department heads and facility management, including operational notices, event information, schedule changes, and Club updates.
- Works closely with the Director of Membership & Marketing to prepare and distribute newsletters, email communications, event promotions, flyers, signage, and other member-facing materials.
- Maintains accurate Club calendars, website/app information, operating hours, event postings, menus, and on-property communication boards.
- Collects information from departments, reviews content for accuracy and consistency, and ensures communications are distributed on schedule.
- Assists with member event registration, reservations, general administrative support, and special projects as assigned.
- Maintains organized front-desk materials, forms, calendars, and communication records.
- Provides courteous, responsive service and supports a positive member experience across all departments.
- Maintains regular and reliable attendance and performs other duties as required.
EDUCATION / EXPERIENCE
- High school diploma or equivalent required; associate’s degree or college coursework preferred.
- One to two years of customer service, administrative, hospitality, communications, or private-club experience preferred.
JOB KNOWLEDGE, SKILLS & ABILITY PREFERENCES
- Excellent written and verbal communication skills.
- Strong organizational skills, attention to detail, and consistent follow-through.
- Ability to manage multiple priorities and meet communication deadlines.
- Professional, friendly, and service-oriented demeanor.
- Ability to work cooperatively with department heads and as part of a team.
- Proficiency with Microsoft Office; experience with Canva, website/content-management platforms, email marketing tools, or club-management software preferred.
- Sound judgment when handling member information and Club communications.
PHYSICAL DEMANDS
Regularly sits, stands, walks, uses a computer and telephone, and communicates with members and staff. Occasionally lifts or carries materials up to 25 pounds.
ENVIRONMENT / NOISE
Work is primarily performed in a professional clubhouse and office environment with frequent interaction with members, guests, and Club staff. Noise level is generally moderate.
