JOB DUTIES AND RESPONSIBILITIES
Responsible for taking individual and group reservations via phone, email, and online booking channels, ensuring all reservations are entered accurately into the Property Management System (PMS).
Provide exceptional customer service while assisting guests with accommodations, golf packages, dining options, resort amenities, and local area information.
Answer inquiries regarding room rates, packages, availability, resort outlets, accommodations, policies, and room locations.
Coordinate with the Sales Department regarding contracted groups, rooming lists, billing instructions, group modifications, and special requests.
Process rooming lists accurately and in a timely manner while ensuring all guest information, contact details, and billing instructions are complete.
Post advance deposits, process payments, monitor payment deadlines, and maintain accurate records of deposits, balances, refunds, and payment activity.
Ensure guest profiles are complete and accurate, including contact information, preferences, and special accommodations.
Maintain a thorough knowledge of resort accommodations, golf courses, meeting spaces, dining venues, current promotions, and seasonal packages.
Monitor room inventory daily and work with management to maximize occupancy and revenue while maintaining rate integrity.
Maintain working knowledge of the Property Management System (PMS), reservation software, golf tee sheet software, and other resort systems; participate in ongoing training as systems and procedures evolve.
Complete assigned reports, projects, correspondence, and administrative duties accurately and within established deadlines.
Maintain a professional appearance and provide courteous, responsive service that reflects the standards and reputation of Pine Needles Lodge & Golf Club.
Perform other duties and responsibilities as assigned by management.
EDUCATION AND EXPERIENCE
Minimum of High School education
Six (6) months prior reservations or front office experience required in a full-service hotel or related
Prior experience with Opera PMS is desired.
KNOWLEDGE, SKILLS AND ABILITIES
Strong knowledge and ability to use the Microsoft Office
Strong working knowledge of Opera PMS
