Prepared Date: 10/2026 SUMMARY The Accounts Payable Clerk / Accounting Assistant manages the Club’s day-to-day accounts payable function, from invoice receipt and approval through payment and vendor reconciliation, and supports the Controller with month-end close, year-end reporting, and the annual audit. The role requires discretion with financial information and good working relationships with department heads and vendors. Accuracy matters in this role. We are looking for someone who takes real care with details and reviews their own work.

ESSENTIAL DUTIES AND RESPONSIBILITIES Include the following Accounts Payable

Receive, review, and process vendor invoices, matching them to purchase orders, receiving documents, and department approvals before entry. Code invoices to the correct general ledger accounts and departments and enter them accurately in the Jonas accounting system. Route invoices to department heads for approval and follow up on outstanding approvals so payments stay on schedule. Prepare scheduled payment runs (checks and ACH) for Controller review and approval; distribute payments and remittance details. Maintain vendor records, including collecting W-9s and certificates of insurance. Verify every new-vendor setup and bank-account change request through an independent callback before any update is made. Reconcile vendor statements to the AP ledger and resolve discrepancies, duplicate invoices, and open credits. Respond to vendor questions about invoice and payment status by phone and email. Maintain organized electronic and paper AP records, scanning supporting documentation into the system.

Month-End, Year-End and Audit

Reconcile the Club’s company credit card statements each month: match every charge to a receipt, code it to the correct GL account and department, obtain cardholder and department head approval, and follow up on missing documentation. Process employee expense reimbursements, ensuring receipts and approvals are on file. Assist with annual 1099 preparation: track reportable vendors, validate W-9 information, and reconcile 1099 totals. Assist with the annual audit by pulling invoices, schedules, and supporting documentation requested by the auditors. Run AP and vendor reports from Jonas as requested by the Controller.

Accounting Support

Assist with journal entries, account reconciliations, and other accounting projects as assigned by the Controller. Support the annual budget process by compiling historical vendor and AP spending data. Help identify process improvements, such as increased use of electronic invoice processing and ACH payments. Perform additional administrative and accounting tasks as necessary.

Proficiency in Excel (lookups, pivot tables, filtering), Outlook, Word, and Adobe Acrobat. Experience with an accounting system (QuickBooks, Sage, or similar) required; knowledge of Jonas Club Software a plus. Familiarity with ACH payments, online banking portals, and vendor payment fraud prevention.
