Role Description The Membership Director is a full-time, on-site role based at Sylvania Country Club in Sylvania, OH. This position is responsible for driving membership growth and retention by developing and executing membership sales initiatives, nurturing relationships with prospective and current members, and supporting membership-related events and programs. Daily responsibilities include responding to membership inquiries, conducting tours of the club, preparing proposals, and guiding prospective members through the application and onboarding process. The Membership Director will collaborate with club leadership and department managers to create and promote membership campaigns, ensure consistent communication to members across channels, and maintain accurate membership records and reports. The role also involves monitoring membership trends, assisting with budgeting and forecasting related to membership, and representing the club at community and networking events.
Sylvania Country Club, is seeking a Membership Director to join our Membership Team. Working closely with department heads and the General Manager, you'll play a vital role in executing our Membership by Invitation strategy in alignment with our Private Club Core Fundamentals. Position Summary:
The Membership Director is responsible for all functions associated with New Member Enrollments for the Country Club. As a department head and senior staff Team Member, the Membership Director will report directly to the General Manager of the Club with Membership enrollment support from the Regional Director of Membership at Arnold Palmer Golf. The Membership Director is to be an integral part of the Club’s Membership Team (all department heads and General Manager), partnering with the Club Team to effectively implement the Membership by Invitation Membership strategy and processes in compliance with our Private Club Core Fundamentals.
The Membership Director is responsible for retaining Membership by planning, coordinating, and hosting Member Club events. Focusing unique programing that inspires “My Club” moments and feelings amongst the Membership.
He/she is responsible for the implementation of prospective Member campaigns as well as New Member, Prospective Member, and Current Member events. The Membership Director will build “effective relationships” with all existing Members, through daily face-to-face interactions, causing them to invite their friends and colleagues to join the Club. The Membership Director will be expected to attend Club activities for the purpose of meeting and greeting potential Member sponsors, golf guests, tournament guests, social and dining guests and uncovering opportunities for potential new Members.
The Membership Director is responsible for maintaining an active prospective database (ACT), scheduling, creating, reviewing and analyzing monthly and quarterly reports pertaining to new Member leads and enrollments. He/she assumes responsibility for maintaining positive Public Relations within the Community through relationships of the current Membership of the Club.
Experience, Education and Skills Needed:
Bachelor’s Degree required.Previous sales experience with documentation of successful sales implementation. Previous private club or hospitality experience is preferable.Strong verbal, interpersonal and written communication skills with an assertive sales personality to meet enrollment goals. Computer experience with Word, Excel and Lead database programs minimum requirement.Must have a professional appearance and manner, a gracious attitude and the ability to interact with diverse groups as well as the ability to build strong relationships within the Club and Community.Self-motivated with the ability to work independently, managing multiple priorities and deadlines.
Essential Responsibilities:
Effectively implement the Membership by Invitation Membership strategies to meet Club Membership goals.Process new Country Club Memberships and all required compliant documentation.Custom prepare Member Invitations for requesting Members and assist through the invitation process.Conduct tours for prospective Members and arrange for Club to host invited friends of Members.Create a referral and enrollment environment at appropriate Member events as well as around the Clubhouse and Golf Course.Develop and implement procedures for processing prospective Member applications.Ensures the Department Heads orientations with the new Members are effective and done in a timely manner.Head the Ambassador Committee in partnership with Committee Chairman.Ensures Ambassador Committee on-boarding process for new Members is completed in a timely manner and is effective.Responsible for all current Membership files.Primary focus on initiation fees and monthly dues through new enrollments, upgrades and retention.Has the discretion and authority to make decisions relating to Membership for the Club in coordination with the General Manager.Maintain and analyze Member report data.Effectively respond to Member comments in accordance with Club standards.Develop and provide ideas, feedback, and suggestions to continuously improve the services provided to Members.Develop, monitor, and adhere to a Membership and marketing budget.Plan, promote, and participate in Club activities for the purpose of generating Membership leads and retention.Track the success and overall performance of all Membership activities.Maintain response, attendance, and follow-up lists for all Membership events.Support Club Committees as required.Perform other tasks as assigned by management.Increase Membership participation in the club.Work with department heads to identify, complete and implement annual Club calendar of Member events to meet needs and desires of Members and guests driving Member usage and retention.Continually foster relationships with current Members and ensuring the development of relationships with fellow Members, Members experience personalized service, cultivate Member recognition, join Clubs within Clubs, committees and participate in events.Handle all resignation and downgrade requests with the objective to save outgoing Members.
MINIMUM TIME EXPECTATIONS AND COMPENSATION:
Compensation is a combination of base salary and sales commission.A regular weekly work schedule Tuesday through Saturday, rotating as needed due to expected attendance at club activities. Schedule can vary to include some evening hours, weekends, and holidays.Membership Director will need to pre-load monthly dining and social evening events, as well as Member appreciation events, with prospective Members and attend the events for the purpose of creating and causing a referral environment in order to reach sales goals.
