Position Summary
Heritage Golf Group is seeking an experienced Payroll Manager to lead payroll operations for our growing, multi-state organization. This position is responsible for the accurate and timely processing of payroll across our portfolio of clubs and Corporate Support Office while ensuring compliance with federal, state, and local payroll requirements.
The Payroll Manager will lead the Payroll team, oversee day-to-day payroll operations, maintain and improve payroll processes and systems, and serve as a key partner to Human Resources, Accounting, Finance, and club leadership. This role will also play an important part in integrating newly acquired clubs into Heritage Golf Group's payroll systems and processes.
This is a hands-on leadership position requiring strong technical payroll knowledge, attention to detail, and the ability to operate effectively in a fast-paced, growing organization. This position is based in our Herndon, Virginia corporate office and is an in-office role.
Key Responsibilities
Lead and oversee the Payroll team and day-to-day payroll operations across Heritage Golf Group.Manage accurate and timely bi-weekly, multi-state payroll processing for salaried and hourly employees across the company's clubs and Corporate Support Office.Ensure payroll practices comply with applicable federal, state, and local wage, hour, tax, and payroll requirements.Maintain current knowledge of state-specific payroll regulations, tax requirements, paid leave requirements, and other applicable employment laws.Serve as the primary payroll subject matter expert for ADP Workforce Now, including payroll processing, company codes, pay groups, taxes, deductions, time and attendance, and related system functionality.Manage state income tax and State Unemployment Insurance (SUI) registrations and ensure required payroll tax filings are completed accurately and timely.Partner closely with Human Resources, Accounting, and Finance to process and reconcile new hires, terminations, employee changes, benefit deductions, garnishments, and other payroll-related transactions.Maintain and administer benefit deduction codes, limits, and payroll configurations and resolve missed deductions, overpayments, or other discrepancies.Oversee time-off plans and accruals, including vacation, sick leave, and applicable state or local paid leave programs.Manage garnishment administration, including the timely setup, processing, and payment of new and existing orders.Identify required payroll tax adjustments and coordinate adjustment payrolls and corrections with ADP.Lead year-end and quarterly payroll activities, including W-2s, 941s, tax reconciliations, and other required filings.Maintain payroll-related systems and processes, including Time & Attendance, Scheduling, Unemployment, Status Changes, and related ADP functionality.Stay current on ADP system enhancements and coordinate training and process updates for the Payroll team as needed.Serve as a key stakeholder in the payroll integration of newly acquired clubs, including system setup, employee data conversion, tax registrations, pay practices, and transition planning.Develop, document, and continuously improve payroll procedures, controls, and workflows to support the company's continued growth.Respond to payroll questions and escalations from employees, club leadership, and internal partners in a timely and professional manner.Partner with Accounting and Finance on payroll reconciliations, reporting, audits, and other financial requirements.Maintain organized and confidential payroll records and documentation.Perform additional payroll, accounting, and administrative responsibilities as needed.
Qualifications
Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or a related field preferred.3–5+ years of progressive payroll experience, including responsibility for multi-state payroll processing.Previous experience leading or supervising a payroll team strongly preferred.Hands-on experience with ADP Workforce Now strongly preferred.Experience processing payroll for a multi-location, multi-state organization preferred.Strong knowledge of federal, state, and local payroll laws, wage and hour requirements, payroll taxation, and quarterly and annual reporting requirements.Experience with payroll tax registrations, garnishments, benefit deductions, time and attendance, and paid leave administration.Experience supporting payroll integrations, acquisitions, or organizational growth is a plus.Certified Payroll Professional (CPP) certification preferred.Strong Microsoft Excel skills and proficiency with Microsoft Office.Exceptional attention to detail and commitment to accuracy.Strong analytical, organizational, and problem-solving skills.Ability to manage multiple priorities and deadlines in a fast-paced environment.Excellent written and verbal communication skills with the ability to explain payroll concepts clearly to employees and leaders.Ability to handle sensitive and confidential employee and payroll information with discretion.Collaborative, service-oriented approach with the ability to partner effectively across Human Resources, Finance, Accounting, Operations, and club leadership.
