This role is responsible for overseeing the daily execution of payroll operations across multiple entities and jurisdictions while ensuring compliance with company policies and applicable payroll regulations. The Payroll Supervisor provides direct leadership to payroll team members, monitors workload distribution and service levels, supports employee development, and serves as the first point of escalation for payroll-related issues.
Key Responsibilities
- Supervise day-to-day payroll processing activities for multiple entities, pay groups, and states.
- Lead, coach, and help develop Payroll Specialists, Senior Payroll Specialists, and Payroll Lead Specialists.
- Review payroll processing activities to ensure accuracy, timeliness, and compliance with company policies and regulatory requirements.
- Monitor workload distribution and team productivity to ensure payroll deadlines and service expectations are consistently met.
- Serve as the primary escalation point for employee pay concerns, payroll discrepancies, tax issues, garnishments, and compliance matters.
- Review and approve payroll adjustments, correction entries, off-cycle payrolls, and other payroll transactions within established authority levels.
- Partner with Human Resources, Benefits, Accounting, and Operations to resolve payroll-related issues and improve business processes.
- Support payroll audits, tax balancing activities, year-end processing, and regulatory reporting requirements.
- Assist with payroll system testing, upgrades, implementations, and process improvement initiatives.
- Maintain and enforce payroll procedures, controls, and documentation standards.
- Ensure compliance with federal, state, and local wage and hour laws, payroll tax regulations, and company policies.
- Identify training opportunities and support the ongoing development of payroll team members.
- Assist payroll leadership with departmental projects, reporting, and operational initiatives.
Qualifications
- 5+ years of payroll experience in a multi-state, high-volume environment.
- Experience supporting payroll operations across multiple legal entities and locations.
- Previous experience leading projects, mentoring staff, coordinating workflow, or serving as a team lead.
- Working knowledge of payroll taxation, garnishments, wage and hour regulations, and payroll compliance requirements.
- Experience supporting audits, reconciliations, and payroll process improvements.
Knowledge and Skills
- Strong knowledge of end-to-end payroll processing and payroll compliance requirements.
- Experience with UKG Pro (UltiPro) or comparable enterprise payroll systems.
- Strong leadership, coaching, and employee development skills.
- Advanced payroll auditing and reconciliation abilities.
- Strong analytical and problem-solving skills.
- Ability to manage competing priorities and deadlines in a fast-paced environment.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Ability to maintain confidentiality and exercise sound judgment.
Education Requirements
- Associate degree in Accounting, Finance, Business Administration, Human Resources, or a related field required.
- Equivalent combination of education, payroll experience, and demonstrated leadership capabilities may be considered in lieu of a degree.
Professional Certifications
- Fundamental Payroll Certification (FPC) preferred.
- Relevant payroll leadership experience in a large, multi-state payroll environment may be considered in place of certification.
Physical Requirements
- Ability to sit and work at a computer for extended periods.
- Ability to communicate effectively via phone, video, and email.
Environment / Noise
- Office environment with standard noise levels typical of a professional workplace.
Other Information
- Occasional extended hours may be required during payroll processing cycles, quarter-end, year-end, and special projects.
