The Club’s 18-hole championship golf course was originally designed by acclaimed architect Jay Morrish, Golf Course Architect of the Year in 1991, and is the only Northeastern course he designed. Position Overview
The Member Relations Manager is responsible for the planning, coordination, promotion, and execution of the Club’s internal events and member programming. Reporting to the Director of Food & Beverage, this position works closely with the Banquet and à la carte teams, Executive Chef, and other department leaders to create well-planned, engaging experiences for the membership.
The Member Relations Manager manages internal Club events from concept through execution, including event development, BEO creation, menu coordination, promotion, departmental communication, and on-site execution. The position works collaboratively with Golf, Racquets, Aquatics, and other departments to coordinate and promote programming across the Club while ensuring event details are communicated effectively to the Food & Beverage and Culinary teams.
The position also serves as a key resource for internal member communications, including the creation of event promotional materials, weekly e-blasts, dining and feature communications, and preparation of the Club’s monthly newsletter. The Member Relations Manager works closely with the Membership & Marketing Manager to maintain consistent branding, messaging, and presentation across member communications.
While this role supports the Banquet team and may assist with private events as needed, its primary focus is internal Club events, member programming, and member-facing communications.
Reports To: Director of Food & Beverage
Schedule: Primarily Tuesday–Saturday, with flexibility required based on the Club’s event and operating schedule, including evenings, weekends, and holidays.
Experience and Qualifications
2–5 years of experience in event planning, hospitality, food and beverage, communications, or private club operations preferredStrong organizational and project management skills with exceptional attention to detail and follow-throughExcellent written, verbal, and interpersonal communication skillsAbility to manage multiple events, deadlines, and priorities simultaneously in a fast-paced environmentExperience creating promotional materials, member or customer communications, and digital contentStrong working knowledge of Microsoft Office and familiarity with design and e-mail marketing platformsProfessional, outgoing, and relationship-oriented with a hospitality-first mindsetAbility to work collaboratively across departments and communicate effectively with managers, staff, members, and vendorsAbility and willingness to adjust working hours based on Club events, programming, and operational needs
Essential Responsibilities
Event Planning & Execution
Lead the planning, coordination, and execution of internal Club events and member programming Develop event concepts, themes, and experiences in collaboration with the Director of Food & Beverage and other department leadersCreate, maintain, and distribute accurate Banquet Event Orders (BEOs) for internal Club events, ensuring all event details are clearly communicated to the appropriate departmentsWork closely with the Executive Chef to develop menus and culinary concepts that complement each event and its intended experienceCoordinate all event logistics, including timelines, room setup, décor, entertainment, rentals, reservations, and other event detailsWork with Banquet and à la carte leadership to coordinate staffing, service style, setup, and event executionMaintain detailed event timelines and planning documents to ensure deadlines and responsibilities are clearly establishedServe as the on-site lead for internal Club events, maintaining a visible presence and ensuring events are executed to the Club’s standardsMonitor event participation and member feedback and use results to help evaluate existing programming and develop future eventsParticipate in post-event reviews with the Director of Food & Beverage and appropriate department leaders to identify opportunities for continuous improvementMonitor reservations and registrations for Club events, regularly communicating participation levels and relevant updates to the Director of Food & Beverage, Executive Chef, and other appropriate department leaders
Cross-Department Coordination
Serve as a central point of coordination for internal Club events, working collaboratively with Food & Beverage, Culinary, Golf, Racquets, Aquatics, Membership, and other departments to ensure effective planning and executionAttend and actively participate in weekly BEO meetings, communicating details for upcoming internal Club events and collaborating with the Food & Beverage, Culinary, Banquet, and Facilities teams to ensure alignment and readinessMeet regularly with department leaders to identify upcoming programming opportunities, coordinate calendars, and gather the information needed for event planning, member communications, and promotionMaintain an organized Club event calendar to support effective planning and coordination across departmentsCommunicate event details, responsibilities, and changes promptly to affected departments, ensuring critical operational information is understood and appropriately coordinated
Member Communications
Create and distribute member-facing communications promoting Club events, programming, dining experiences, and other activitiesDevelop event promotional materials, including flyers, signage, digital graphics, and other in-Club materialsPrepare and send the Club’s weekly member e-blast, coordinating with department leaders to gather timely and accurate informationPrepare and distribute weekly communications highlighting dining features, specials, and other Food & Beverage offeringsCoordinate the preparation and distribution of the Club’s monthly newsletter, gathering content from department leaders and ensuring information is accurate, timely, and presented consistentlyMaintain a member communications schedule to ensure Club events, dining features, and programming are promoted accurately and with appropriate lead timeSupport the Membership & Marketing Manager with marketing initiatives, content development, and other promotional needs as requestedWork closely with the Membership & Marketing Manager to ensure consistency in branding, messaging, and presentation across member communications
Support for Private Events
Provide planning and operational support to the Banquet team for private events as neededAssist with event setup, coordination, and on-site execution during periods of high event volume or when additional management support is neededWork collaboratively with the Banquet team to ensure private events are executed in accordance with the Club’s service and hospitality standards
