Position Overview:
The Concierge/Administrative Assistant position is ideal for a dynamic professional who thrives in a service-oriented environment and can manage multiple administrative functions with discretion and efficiency. As the first point of contact for residents and guests, the Concierge/Administrative Assistant plays a key role in delivering exceptional community experience while supporting the administrative operations.
Responsibilities:
- Greet residents, guests, and visitors with professionalism and courtesy.
- Maintain and manage the membership database, including processing new and transfer memberships.
- Coordinate and manage reservation requests, meeting spaces, and room scheduling.
- Manage electronic record filing systems and logs to ensure all documentation is properly stored and accessible.
- Serve as the primary phone operator, directing calls, taking messages, and responding to inquiries.
- Provide general administrative support to management and other departments as needed.
Qualifications:
- Previous experience in a concierge, administrative assistant, or customer service role, preferably in a luxury or private community setting.
- Exceptional communication and interpersonal skills.
- Strong organizational and multitasking abilities with keen attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and database management.
- Ability to handle sensitive information with discretion and professionalism.
- A warm, polished, and professional demeanor with a passion for providing excellent service.
Working Conditions:
- Front desk-based position in a high-traffic community clubhouse or administrative office.
- Fast-paced environment with frequent interaction with residents and staff.
Minimum Qualifications:
- Associate’s degree (AA); and one to two years of administrative experience; or equivalent combination of education and experience.
- Ability to work independently with little or no supervision.
- Ability to communicate verbally and in writing. Ability to compose letters and to facilitate phone calls and general inquiries sensibly.
