Administrative Assistant/ Receptionists are directly responsible in assisting in the day-to-day operations of the property and its staff. The Administrative Assistants/Receptionist will provide mid‐level administrative support handling information requests and performing clerical functions such as: answering phones, preparing correspondence, greeting and directing members and visitors, arranging conference calls, scheduling meetings. Beginners are welcome – previous Receptionist experience is not required for the position. Ideal candidates have flexible schedules with availability to work weekends, holidays, and golf seasons, as needed. Responsibilities - Greet and act as liaison with members, guests and vendors, – assist them with general questions and concerns, making suggestions and identifies possible solutions - Promote the club’s facilities and area attractions - Provide information regarding special events within the club and the surrounding area - Answering and routing all incoming calls, taking messages and handling requests - Assist management with correspondence, photocopying, scanning and other administrative duties as needed - Assist Controller in invoice processing and member payments - Assist Food & Beverage in coordinating events and taking reservations - Assist Member Relations in membership sales, onboarding members and club tours - Coordinate with Housekeeping for special events and needed supplies - Addressing Building Maintenance issues when the arise - Update Front Gate for guest arrivals - Document production and filing - Maintain office supplies - Maintain a clean and orderly lobby, front office and supply closet - Assistance with Microsoft, Excel and PowerPoint Projects - Participates as needed in special department projects - Perform other duties as assigned by supervisor or manager Education and Experience Requirements: - 1-2 years administrative experience preferred - Must be proficient in the use of Microsoft Word, Outlook, Excel and PowerPoint - Must possess excellent written and verbal communication skills - Must be extremely organized, efficient and detail-oriented - Must be highly motivated, goal driven and self-starter - Must have a professional appearance - Ability to handle multiple tasks simultaneously - Ability to answer telephone in a professional manner Working Conditions: - This position requires the ability to speak, hear, and see - The employee is regularly required to sit for long periods of time using a monitor and keyboard; use hands to handle or feel; and reach with hands and arms - This position will also require the employee to stand, walk, stoop, kneel or crouch to pick things up or move displays around - The employee must be able to lift and/or move up to 30lbs occasionally - Noise level is moderately quiet - Regular and reliable attendance required - Work extended hours during golf and holiday season - Work holidays Benefits & Other Compensation: This position includes eligibility for the following benefits, subject to applicable plan terms: - Healthcare Benefits – Medical, Dental, and Vision coverage - Retirement Benefits – 401(k) with employer match (19 years of age and older) - Additional Compensation – Eligibility for Bonuses Eligibility for benefits and the specific terms, conditions, and offerings are governed by the applicable plan of documents and company policies, which may be amended at the Company’s discretion.
