About the Role
Wedding & Event CoordinatorThe Wedding & Event Coordinator is responsible for planning, organizing, and executing weddings, indoor events, and assisting with golf outings and daily golf operations. This role works closely with clients, vendors, the daily golf operations team, and the General Manager to ensure seamless coordination and a high-quality guest experience. This role supports both daily operations and special events and requires a self-motivated individual who can work independently, communicate effectively, and interact with guests in a professional and courteous manner.
Key ResponsibilitiesEvent & Wedding Coordination
Collaborate with clients to understand their vision, preferences, and expectationsPlan and coordinate all aspects of weddings and events including timelines, logistics, and vendor coordinationConduct tours and host open houses for prospective clientsManage client communication from initial inquiry through event executionOversee event setup, execution, and breakdown to ensure a seamless experienceHandle issues or last-minute changes with professionalism and efficiencyStay current on wedding and event trends to enhance offerings and client experienceClubhouse & Event Space Maintenance
Maintain a clean, organized, and professional appearance of all event spaces and clubhouse areas, both indoors and outdoorsEnsure all event areas are properly set, reset, and inspected before and after eventsMonitor cleanliness throughout events, addressing any issues promptly to uphold guest experience standardsCoordinate with staff to keep common areas, patios, ceremony spaces, and reception areas in top conditionAssist in maintaining overall clubhouse presentation in alignment with Stonewolf's standards for both golfers and event guestsGolf Operations Collaboration
Work closely with the golf operations team to align event schedules with daily tee sheet activityAssist in ensuring a smooth transition between golf play and event functionsCommunicate effectively with golf staff regarding timing, logistics, and guest flowParticipate in learning and training opportunities to support golf operations during slower, non-event seasonsGolf Tournaments & Outings (Golf Shop Support)
Assist the golf shop team with the execution of golf tournaments and outingsSupport outing logistics including registration, check-in, scoring, and on-course contestsHelp coordinate player flow, cart staging, and event timing in collaboration with golf staffProvide support with merchandise, scoring systems, and daily golf shop operations as neededServe as an additional point of contact to ensure a smooth and organized experience for outing participantsStep in to assist golf operations during events to maintain a high level of service and efficiencyCustomer Experience
Provide exceptional service to all guests, golfers, and clientsBuild strong relationships with clients and vendorsRepresent Stonewolf in a professional, friendly, and engaging mannerOperations, Staff & Inventory Support
Assist in monitoring and controlling inventory levels, ordering supplies, and ensuring efficient stock rotation to minimize waste and optimize profitabilityTrain, supervise, and motivate staff members including event staff, golf staff, food and beverage staff, kitchen staff, and support personnel to maintain high levels of service and productivitySupport daily operational needs across departments to ensure a seamless guest experienceCompliance & Safety
Ensure compliance with health and safety regulations, food hygiene standards, and licensing requirements to maintain a safe and legal operating environmentMarketing & Promotion
Assist in developing and implementing marketing strategies to attract and retain customersSupport promotional events, outings, and advertising initiatives to drive revenue and engagementQualifications & ExperienceStrong organizational and time management skills with the ability to multitask
