Job Summary
We are seeking a dynamic and organized Receptionist/Administrative Assistant to join our team! In this vital role, you will be the first point of contact for visitors and callers, ensuring a welcoming environment while efficiently managing administrative tasks. Your energy, professionalism, and attention to detail will help keep our Administration office running smoothly and support our team’s daily operations.
Responsibilities
Greet visitors warmly, direct them appropriately, and manage reception operations with excellent phone etiquette
Answer and route phone calls promptly and professionally
Handle incoming correspondence, emails, and inquiries with accuracy and courtesy
Support leadership team calendar coordination, and meeting arrangements using Microsoft Office and other software tools.
Perform data entry, filing, photocopying, proofreading, and general clerical support to ensure organized office workflows
Support office management activities including supply inventory, document preparation, and maintaining a tidy reception area
Requirements
Proven office experience or clerical background with strong organizational skills
Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and data entry skills
Excellent communication skills with professional phone etiquette; bilingual abilities are a plus
Familiarity with multi-line phone systems and front desk operations
Strong time management skills with the ability to prioritize tasks effectively
Experience in customer service or customer support roles demonstrating professionalism and patience
Attention to detail for proofreading documents and maintaining accurate records.
