Overview
We are seeking a highly organized and dependable Facilities Maintenance Coordinator to support the day-to-day maintenance operations of our facility. This position is responsible for coordinating maintenance requests, scheduling vendors and contractors, obtaining service quotes, and ensuring repairs and facility projects are completed in a timely and cost-effective manner. The ideal candidate is detail-oriented, possesses excellent communication skills, and can effectively manage multiple priorities while maintaining strong relationships with vendors and internal departments.
Responsibilities
Coordinate and schedule maintenance and repair services with outside vendors and contractors.
Obtain quotes and proposals for maintenance, repairs, equipment, and facility improvement projects.
Compare vendor pricing and services and present recommendations to management.
Serve as the primary point of contact for facility maintenance requests from internal departments.
Schedule vendor visits and ensure repairs and preventive maintenance are completed on time.
Track maintenance requests and follow up on outstanding work to ensure timely completion.
Coordinate routine inspections and preventive maintenance for building systems and equipment.
Maintain maintenance records, vendor information, service agreements, invoices, and other documentation.
Assist with planning and coordinating facility improvement and capital projects.
Monitor vendor performance and ensure work meets company standards and safety requirements.
Track maintenance expenses and assist with budgeting and invoice processing.
Communicate maintenance schedules, project updates, and repair status to management and affected departments.
Support the Facilities Manager with day-to-day facilities operations and administrative tasks.
Qualifications
Experience in facilities coordination, office administration, property management, or a related field preferred.
Experience coordinating vendors, contractors, or service providers.
Strong organizational and time management skills with the ability to manage multiple projects simultaneously.
Excellent communication and interpersonal skills.
Proficiency in Microsoft Office, including Outlook, Word, and Excel.
Ability to obtain and compare vendor quotes and negotiate service scheduling.
Basic knowledge of building systems, including HVAC, plumbing, electrical, and general building maintenance is preferred.
Ability to maintain accurate records and documentation.
Strong problem-solving skills and attention to detail.
High school diploma or equivalent required; associate degree or related experience is a plus.
Pay: $19.00 - $25.00 per hour
